Privacy Policy
What Pontem Sales collects, why, who sees it, and the choices you have. Last updated October 6, 2026.
Pontem Sales Inc. ("Pontem Sales", "we", "us") is based in Port Perry, Ontario, Canada. We make PontemVelo and PontemClient, and run this website. This policy explains how we handle personal information, in line with Canada's privacy law (PIPEDA). If anything here is unclear, write to us at sales@pontemsales.com.
1. Who this covers
- Visitors to our website.
- People who ask about a demo or start an order, including people who start a form and do not finish it.
- Customers and their team members who use a Pontem Sales workspace.
- Buyers who are invited by a customer to view or update a shared PontemClient plan.
2. What we collect
On our website
When you request a demo or start an order, we collect what you type: your name, work email, company, team size, the number of seats and plan you want, and any message. We save an email address and the details entered so far as soon as you have typed it, even if you leave without sending the form, so that we can follow up. We also keep a random reference number in your browser's session storage to link the steps of one request together, and remember your currency and billing choice for the visit. We do not use advertising or analytics cookies. Our pages load fonts from Google Fonts, which means your browser contacts Google when a page loads.
In a workspace
Account details (name, work email, a password handled by our sign-in provider), and the content customers put in: plans, steps, due dates, comments, deal details such as client name, industry, deal size and anticipated close date, buyer contact names and emails, and notes. Activity such as when steps are completed and what reps log against targets is recorded so reports can be produced.
If a customer links Microsoft 365
With the user's or an administrator's approval, we read only counts: when email was sent, to whom, whether a reply came back, and calendar invitations with outside attendees and their replies. We do not read email subjects, message text, attachments or calendar titles and notes.
Payments
Payments are handled by Stripe. Card details go to Stripe and never reach our servers. We receive confirmation of payment, the amount, the plan and seat count, and a customer reference.
3. How we use it
- To provide, secure and support the service, including emailing notifications that customers have turned on.
- To respond to demo requests and orders, and to follow up with people who started a request and did not finish. These follow-ups are about the request you started, and each one tells you who we are and how to stop them.
- To bill customers and keep records.
- To improve the product.
- To produce aggregated, anonymised statistics (see section 5).
We do not sell personal information, and we do not use customer content to advertise to anyone.
4. Who we share it with
Only with service providers that help us run Pontem Sales, and only so they can do that work:
- Supabase, for the database and sign-in.
- Resend, for sending email.
- Stripe, for payments.
- Microsoft, only if a customer links Microsoft 365.
- Anthropic, only when a customer uses an optional writing or planning assistant. What the user asks about, and the plan information needed to answer, is sent to produce the result. Anthropic does not use it to train its models under our commercial terms.
These providers may store or process information outside Canada, including in the United States, where it can be accessed under local law. We may also disclose information if the law requires it, or to protect our rights and the safety of others, or as part of a sale or reorganization of our business.
Customers' own content. For the content a customer puts into a workspace, including information about their buyers, the customer decides what to enter and why, and we handle it on their behalf and on their instructions. A customer who invites a buyer to a shared plan is responsible for telling that buyer.
5. Aggregated and anonymised statistics
We combine activity across workspaces into statistics, for example how often a type of step comes before a closed deal, or the most common reasons deal dates move. We may publish these in our own articles and marketing. The statistics never name or identify a company, person, plan or deal, and use no free text that customers have typed. A figure is only produced when it is based on at least three workspaces, and a step name or industry appears only when it is built into Pontem Sales or used by at least three workspaces. A customer can ask us to leave its workspace out of these statistics at any time by writing to sales@pontemsales.com.
6. How long we keep it
We keep a workspace's content while the account is active. When an account is closed, we delete or anonymise its content within a reasonable period, except where we need to keep records for legal or accounting reasons. We keep details from demo requests and unfinished forms only as long as needed to follow up, and then delete them. Stripe keeps payment records as its own rules and the law require.
7. Your choices and rights
You can ask us for access to the personal information we hold about you, ask us to correct it, or withdraw your consent to our using it, subject to legal and contractual limits. You can tell us to stop following up with you at any time. If you are a buyer on a shared plan or a team member in a customer's workspace, we may direct your request to that customer. Write to sales@pontemsales.com and we will reply within 30 days. If you are not satisfied, you can complain to the Office of the Privacy Commissioner of Canada.
8. Security
We use access controls, separate each workspace from the others, and rely on our providers' security measures. Our Security page describes what we do. No system is perfectly secure, and we will tell affected customers if a breach puts their information at real risk, as the law requires.
9. Children
Pontem Sales is a business tool and is not directed to children.
10. Changes
We will update this page when our practices change and show the date at the top. For significant changes affecting customers we will also tell them directly.
